Project.co Review & Guide Project Management Tool 📝 Asana & Click Up Alternative? Josh Pocock

All right what's going on everybody Josh pocock here founder and CEO of executive stride in today's video we're going to be looking at a project management Tool uh called project.co um it's apparently a project management tool that your clients will actually use um nice looking interface and some cool looking features so let's dive right into it and see what it's made of [Music] okay so here is the project.co's website you can see a little demo video here um hey I'm Matt

I created project.co founder 10 years ago to make managers ago he created it so he he said he started creating it for his business internally and then started you know offering it as a service um and yeah here he is Matt Byron Byron um so pretty cool pretty interesting looking tool currently right now in our company we we uh we've used like a lot of different project management tools we've used Trello we use the sauna asana's pretty good we use monday.com

Monday.com is pretty good um currently we're using click up um to be honest click up we use notion for certain things um more for myself personally um with internal notes and stuff like that uh knowledge knowledge uh more is like a knowledge Hub but um I see most users as well but uh project Co looked interesting it's something that you know I literally just got it a couple days ago a day or so ago and it looked interesting to check out

Um so you know I don't know how if I'm going to actually implement this in my business or if I'm just going to keep it on the shelf or maybe I'll have some sort of use case for it but it looks good enough and intrigued me enough where I thought hey let me just take the leap and try this out for a bit we'll just kind of look around with it hold on to it and see if I can use it

Either now or in the future Okay so complete visibility of everything um here's the actual pricing so clear simple pricing use it free forever or upgrade if you need more so there is a free plan that you can use forever you can have up to five created Creator users unlimited collaborator users 10 active projects one gigabyte storage space and all features that's the free plan the team plan is eight dollars per month per Creator you get everything in free unlimited projects

10 gigabytes of storage per user migration concierge and phone and email support and then agency is twelve dollars per month per user or 14 okay so actually this is billed annually the top one here is what's billed uh monthly if you go the monthly version 12 14 10 for team and fourteen dollars for agency and you get everything in team for agency custom branding custom email branding custom domain and onboarding support um you know just to let you guys know this

Was on appsumo it's currently not at the moment maybe it'll go back on I don't know but I think they've been on there in the past so it could be you know um at the moment since it's not on appsuma I'm not gonna even go over that part but uh for this is mainly for those who wouldn't mind you know hopping on these plans if you really like this tool or if I know it was a pretty popular tool so a

Lot of people probably already have it so this is kind of a guide to show you my thoughts on it as well as you know everything else so um let me actually go here is actually our setup so far I'm actually gonna check out um they have a community as well so I just went to resources Community they have a knowledge base vlog templates okay so here's their community so I haven't signed up for this yet but I probably will if

I decide to keep this and really use it a lot okay so uh yeah that's their Community here's their knowledge base so good looking knowledge base with you know everything you really need to answer questions here's our setup so um you know as you can see I literally just got this don't have anything set up in here here's what the interface looks like though nice looking interface I like the fact that you know with my uh plan I'm able to White

Label so I got the logos here of our company I haven't done the domain yet but uh you can add a subdomain for at least my plan um here's what you have you have it's very simple which I like um you know it's not there's nothing too too crazy or too complex with this at least from what I've seen there's projects templates tasks people groups files payments and time this page can only be seen by people with a collaborator role so

Only collaborators can see templates and time I believe you can you know change the permissions on some of these um how you'd like so we have your settings which is just you can change default views right here right here so I can change projects to be cards kanban or lists uh templates as well tasks and inside projects all right so there's that um no start Pages found so I can add Star Pages these are notifications right here inbox is empty so

It's my personal one obviously I haven't set anything up save page settings default page settings so you can set up I think this would be based on filters notification type date hosted by project project status all right you can go back and forward with these right here um you can create a new project template task person group file upload payment or time entry up here with this button um so go to options account settings so this is where there's more settings

We have account plans and billing code stacking localization invoice info project status task status custom field custom emails custom branding export data import data custom domain so you know you may not may or may not have these options here but this is where I would have my custom domain this is where I can set up my custom emails there's videos that will or explanations that walk you through it custom branding so I can brand this right here background color kind of

Want this to be black oh yeah that looks way better at least for our branding okay um so we got that export data you can export your data so that's good import data oh yeah well obviously most tools have this so you can import data which is good custom Fields this is important I would set this up um create account little custom Fields create a field that applies across the whole account applies to name type so we can create custom Fields

Here required allow filter by allow Group by allow sort by so we can change some of those settings task status so we can create new test statuses see active edit you can change the color and all that and the name okay go back here project status similar thing invoice info so we can add invoice logo invoice footer billing address City postal code all that stuff so you can actually Bill your clients through here if you want this would be a good

Tool if you're doing um Project based like service service uh delivery type stuff and you want your clients to use this type of tool I mean obviously you can use that for like a lot of project management tools that's what you know you do a lot of the time but this is good too just because if you have the custom branding it can look pretty cool plus it's simple so your clients aren't it's not like something where they just it's too

Complex and they don't want to use it right so um that's what kind of intrigued me about this tool invoice info oh yeah we just we're there uh localization set up your account time zones all that stuff so I don't think I did that yet let's do that now time zone Toronto no okay let's do New York I'm on Eastern time oh wait let me type East there we go working days um Saturday save code stacking against that codes if you

Have them plans and billing right it would be here count you can change your account name hardcovers you'll see your storage here the number of Creator users you have you can request a lesion manage your plan so that's all the settings um if I go back to the home we have Integrations here so I can integrate zapier you know which can integrate a multitude of apps you know over 5000 stripe setup so I can connect my strip account or my PayPal

Account to accept payments through the invoice so that's pretty cool we have our help center here and then log out and then here you'll see obviously your account you'll see how many Star Pages you have active projects tasks do slash overdue and unread notifications so in projects we can see different projects we have we see start date deadline status I can add custom Fields if I'd like you have options to duplicate project convert to template or complete project we have filtering

Options here okay we have list view card View calendar view and we can change the default views for these like I showed you before kanban View scheduler View all right so you can go ahead and change that and then you can save views uh save views as well so you can and then you can have uh default page settings or Different Page views I believe so that's pretty cool um I like that actually um well let's just open a project these

Are not projects I created these are default ones so edit the status of your project here let me just turn off my dark mode it is turned off start date and the deadline if you have on here I can't set the project privacy right here add people or groups here um this isn't just a normal description type forward slash to get the power of your slash commands menu so that's cool add tools to your project here this is where the real

Power of project of your project lies okay nice cool so let me exit this so yeah I can change the status here change the deadlines here project private account right add people change this and if like you said if I do forward slash I can do H1s H2S tax bullet list numbered lists task list toggle list quote alert image file upload task test test task text task card table Emoji link mention reference and embed so that's pretty cool I can even

Reference um link to another part of the system so that's cool I like that so I could say in a project okay complete this project or complete this task or whatever and I could link directly to that um for my knowledge so that's cool add tool I can add a discussion task file note payment time single embed or embed lists so that's great let's add a discussion here and a discussion add a file at a time right I can delete duplicate

Convert custom Fields or complete project close page right so a bunch of cool stuff um that you can do within projects and I could click the star if I wanted to favorite um here's an example of another type of project you could create embedded wistia I believe no it's payments times now here's a list um private chant discussion writes up those are the just a few examples of projects templates so our template gallery has three plus ready-made templates for you to

Use for your charge so let's check out some of the template libraries here here's some of them we have podcasts video templates animated uh video templates meeting notes templates custom tracker templates shot template lead tracking template no templates a bunch of different templates monthly sales reports content calendar social media calendar accounting client tracker development Sprint template bug tracker template team template one-on-one meeting template all right and yeah you could literally just click you you could click on the template and then

Click copy this template and then it's going to copy that template over into into your uh project account as you can see here project our podcast planner here we go so I can create a project with this template so that's pretty cool I like the fact that they have a separate version place where you can host your like have your template stored you don't have to create a template in your projects and then just like you know kind of remember okay

This is a template or like label it template they have a separate place for templates which I really like because a lot of uh project managers don't have actually I want to say a lot but you know some don't have that right and we have tasks we can manage certain tasks so you can see some here I'm gonna see if there's a signees or not you know you can open it you can see if there's anything here you can assign a

Day assign a group or people followers related tasks so you can set parent tasks or subtask level custom field account level custom field custom fields and add files comments uh a description all right so you can Mark us complete or not and you can add the same type of filters you could with projects and you can also add new tasks I don't know if you're gonna have dependence dependencies I don't know or for sure if you can something tells me you

Can't um for some reason I think I saw that somewhere but I can't say for sure I hope they add that and some other stuff to it like to be honest I haven't used this like extensively enough yet but I doubt it could really come it can somewhat compare but I doubt it's on the same level as something like it depends it really depends like it seems probably a bit more user friendly maybe or less of a learning curve than something

Like click up or maybe maybe even monday.com but uh definitely click up definitely has more probably features and I mean they've been around for a while they have a lot of funding and stuff but here here's how you can create new groups so you can create a group name invoice details add a group photo or icon um and there you go you can set up the same type of filters you come with templates or with projects in the tasks files same

Sort of thing you can upload a file upload date you can filter create views similar to everything else you can upload documents or photos payments so I go here I can create a new payment description project group currency right amount tax rate total notified people and you can connect striper PayPal like I said you can create those new payment requests and then time so allocate was it say uh allocate and record time here to see where time is being spent it'd

Be cool I don't know I'll double check uh actually let me try this right now let me go to uh project .com extension I don't know if they have a Chrome extension or not chromex extension they should um if they don't I don't think they do to be honest um project I call the reason I say this is because they should have a uh time tracker built in in my opinion that's something that click up has like here's click UPS you

Can like do screenshots you can record time click up is probably my favorite project management app at the moment that's that's to be honest what we're using but um yeah I don't see anything let me see if I go to project dot Co um apps oh that's it yeah oh they well they do have a phone app so that's good I guess they do have a desktop app too I didn't even know that I'll have to download that now but um

Yeah it doesn't look like they have anything else so hopefully they can add that um ideally because I think right now to for the time entries you would have to manually add a time entry which I would never do um just doesn't make sense so people me project here task here okay wait let me change this here okay we have a task there date here hours how much time yes you have to manually enter stuff so like I just is I

Mean you could do that I would just not do that because why would I do that when I don't have to because I can I like there's tools that have that you can time track with uh with and it automatically updates that for you so um I wouldn't want my team doing that I want to want myself doing that entering at a manual I'd rather just have it recorded or the way the tools we use and stuff like some of them

The time recorder The Trackers they like automatically take screenshots of the person's screen so make sure they're working and doing the right stuff and a lot more efficient to be honest so that's one thing I would like that would be better about this because I do like the white labeling and all this stuff and the transparency between you know the clients can log in and and they're pretty fair with their pricing and features it's just that yeah I think time tracking

Is important especially if project.co is really uh focused on you know project management for a client like you know running managing clients and everything I think time tracking for a lot of people who are running service-based businesses and doing client work you know whether or not you're charging out like on an hourly basis or not which lots of times I don't recommend but it's still good it still can be good and depending on what service you're providing to track time either

If it you're gonna transparently show that with your clients or regardless you need to be tracking time for your team obviously because if you're paying your teammate by hourly which most of the time you're going to be doing right so um I think automated time tracking is is very important for that so that would be that and task dependencies um are the two top things I can think of off the top of my head um other than that I got I'm

Just like everything else like do they have the best user interface [Music] um maybe like it's pretty good like I'm not gonna it depends like I would have to take it takes me it would take me some time to get fully used to this and everything it's simple which I do like it's a very simple thing which is good because I have some other ones that aren't as simple like even click up is it can be complicated at the starter learning

Curve if depending on how you set it up there's a lot more room to like customize things this is like a structured app so you can't do as many customizations as this as you could in like click up or even notion even though notion really isn't meant for project management necessarily it's more for like note taking and stuff but um but yeah that's pretty much it in terms of this uh project dot co-review I'll leave a link in the description below
